Starting at a new gym can bring a mix of excitement and questions. This guide will help explain what to expect, where to find what you need, and how we will support you from your first session forward.

Your first steps
After you join, your coach will help you understand your starting plan and training cadence—the number and type of sessions you will complete each week. Your plan may include coached sessions, independent workouts, habits, or recovery work based on your goals and needs.
• Look for your Trainerize invitation and set up your account.
• Confirm that your membership and upcoming appointments appear correctly in Momence.
• Save your coach’s preferred contact method and the manager contact information below.
• Complete requested intake forms or readiness questions before your first session.
• Tell your coach about injuries, health changes, movement concerns, accessibility needs, or anything that may affect safe training.
The software we use
Trainerize: your coaching home base
Trainerize is where your coaching plan lives. Depending on your membership, you may use it to view workouts, track habits and progress, receive reminders, review exercise demonstrations, and message your coach about training-related questions.
• Use Trainerize for questions about exercises, your program, technique, progress, soreness, habits, or goals.
• Turn on notifications so you do not miss coach messages or program updates.
• Record workouts and requested check-ins as consistently as you can. Honest information helps your coach adjust the plan.
• If something in your program does not feel right, stop that activity and message your coach rather than pushing through it.
Momence: membership, payments, and scheduling
Momence is our membership and scheduling system. Use it to review your membership, manage eligible bookings or appointment information, and access payment records or receipts when available.
• Check Momence after scheduling or changing a session to make sure the correct date, time, and coach appear.
• Keep your payment method and contact information current.
• Do not send full card numbers or other sensitive payment details by text or Trainerize message.
• If a payment, membership, receipt, or booking looks incorrect, contact the manager at hello@embodyfitnessatx.com so we can review it.

How to communicate with us
Contact your coach when…
• You have a question about your workout, exercise technique, goals, progress, or training plan.
• You are unusually sore, an exercise causes discomfort, or a health situation changes.
• You feel discouraged, overwhelmed, unsure, or need the plan adjusted.
• You cannot access Trainerize or do not understand an assignment.
• You want to share a win—big or small. We want to celebrate it with you.
Contact the manager when…
• You have a question about billing, membership status, receipts, policies, or account access.
• A scheduling issue has not been resolved or an appointment is missing or incorrect.
• You have feedback or a concern about your experience and would prefer not to address it with your coach.
• You need help that affects more than one coach or the wider facility experience.

Messages are not monitored continuously. If you have a medical emergency, call 911 or your local emergency service. Do not use Trainerize, Momence, email, or gym text messages for urgent medical care.
If you need to reschedule
Life happens. As soon as you know you cannot attend, contact your main coach via text. Earlier notice gives us the best chance to help you find another time to reschedule.
• We have a 12 hour cancellation/rescheduling policy. If you cancel within the 12 hour cancellation window, you forfit your session.
• Do not assume a session has moved until the new date and time appear correctly in Momence or a team member confirms the change.
• If you train with more than one coach, confirm which coach is listed for the new appointment.
• If an emergency or unexpected circumstance prevents timely notice, contact your coach and explain what happened.
If something is wrong
Please tell us. You deserve to feel safe, respected, and heard, and concerns are easier to resolve when we know about them.
• For an incorrect appointment, app problem, or membership issue: take a screenshot if helpful and send a brief description of what you expected versus what you see.
• For pain, dizziness, unusual shortness of breath, chest pain, faintness, or another concerning symptom: stop exercising and alert your coach immediately. Seek appropriate medical care.
• For a concern involving your coach or an experience that felt unsafe, unwelcome, or disrespectful: contact the manager directly.
• If your concern is not resolved, follow up and state that the issue remains open. We will identify who owns the next step and when you can expect an update.

What to expect from your coaching experience
• Personalization. Your program should reflect your goals, starting point, history, preferences, and current capacity.
• Progression. We will build gradually. More is not always better; consistency and appropriate challenge matter.
• Communication. Your coach may ask for feedback so the plan can evolve with you.
• Professional boundaries. Coaches support fitness and behavior change but do not replace physicians, physical therapists, dietitians, or mental health professionals. We may recommend appropriate outside support.
• Shared coaching. At times, another Embody coach may lead your session. They should have the information needed to support you, and your appointment should clearly show the assigned coach.
• Respect and privacy. Please respect other clients’ space and privacy.
Preparing for your sessions
• Arrive a few minutes early, especially for your first visit.
• Wear comfortable clothing and supportive footwear appropriate for movement.
• Bring water and any personal items your coach has recommended.
• Eat and hydrate in a way that supports you; ask your coach if you are unsure what works for your schedule.
• Tell your coach at the start of the session how you are feeling, including sleep, stress, soreness, pain, illness, or medication/health changes that may affect training.
• Stay home and contact us if you are contagious or too unwell to train safely.
Understanding progress
Progress is broader than a number on a scale. It may look like greater strength, more energy, improved confidence, better movement, fewer aches, more consistent habits, or doing something that once felt out of reach. Your coach will help you notice and celebrate meaningful progress while adjusting the plan when life changes.
